Job Description

If you’re an experienced executive Assistant with outstanding office administration skills and excellent organizational capabilities, this role with the Peel District School Board offers an exciting opportunity.

As Assistant to the Associate Director—School Improvement and Equity, you’ll provide confidential executive and administrative support to the Associate Director and be responsible for coordinating the effective workflow and communications with all stakeholders including members of the public. You’ll be required to maintain complex schedules and calendars, arrange meetings, take minutes, compile information/data, and initiate appropriate follow-up.

In this key role, you’ll also be responsible for supporting the Supervisory Officer promotion processes and preparing related reports and letters, coordinating and tracking the processes of Principal and Vice-Principal promotions, placements and transfers, providing support related to budget development on Principal and Vice-Principal allocations, and maintaining a list of acting and casual Principal and Vice-Principal assignments and preparing related reports. You’ll also be called upon to gather background and statistical data, participate and take a lead role in special projects, and manage all correspondence received and prepared. Formatting, drafting and proof-reading documents, memos and reports, you’ll also maintain a comprehensive filing system and order various office supplies, resources and equipment.

Staff in the Director’s Office work collaboratively as a team in support of the Director and Associate Directors. Therefore, your work will be coordinated by the Senior Administrative Coordinator to ensure processes, procedures and protocols are established and followed in the accomplishment of all tasks and other duties as assigned. You’ll also be responsible for providing back-up to the Senior Administrative Coordinator and the Director and Associate Director’s assistants as required.

You’ll work at the above location from 8:30a.m. to 4:30p.m., with a requirement for attendance at evening meetings, if necessary.

EXPERIENCE AND QUALIFICATIONS

As Assistant to the Associate Director, you’ll leverage your post-secondary education in business or office administration, and no fewer than five (5) to seven (7) years’ related experience in progressively responsible positions. The following credentials, skills and knowledge will also support your success in this role:
Knowledge of the staffing processes for Principal and Vice-Principal promotion and transfer, and Board and Committee agendas is an asset 
Experience with calendar management, meeting/event preparation and follow-up of action items 
Experience liaising with various internal and external stakeholders and community representatives from diverse backgrounds with respect, diplomacy, and tactfulness 
Knowledge and understanding of Ministry directives and Board policies, practices, and procedures 
Demonstrated commitment to equity, inclusion, anti-racism, anti-oppression, and working in a diverse school community and/or work environment 
Excellent communication skills and ability to maintain confidentiality 
Superb problem-solving and interpersonal skills with a variety of stakeholder groups 
Excellent analytical and research skills with demonstrated attention to detail 
Excellent keyboarding skills with experience in a variety of computer applications including Word, Excel, PowerPoint, Visio, SharePoint and Google Apps for Education 
Excellent proof-reading and note-taking skills with level of accuracy
Demonstrated initiative, organizational, planning, and multi-tasking skills 
Ability to work independently and meet timelines 
Ability to work effectively and cooperatively as a member of the Director’s Office team 
Demonstrated commitment to working in a diverse school community and/or work environment

ASSETS
Experience using HRIS, Staffing Database, Financial Information System, Time Entry and Absence Management system 
Experience in a school and/or Field Office setting

SALARY: $62,137 to $77,673 per annum
